What was happening before
Every new tender arrived with its own draft contract, and each one had to be read line by line against the terms the business was actually comfortable with. Repeat clients sent fresh drafts too, and the only way to know what had changed since the last agreed contract was to read both versions side by side. It took hours per proposal, it was easy to miss a quietly changed clause, and the whole review sat with one person.
What we looked at in the walkthrough
In the 45 - 60 minute walkthrough we mapped where the proposal time actually went. The pricing and the technical response were not the problem — the bottleneck was contract review. Two repeat patterns stood out: comparing a new tender's draft contract against the business' preferred terms and conditions, and comparing an existing client's new draft against the contract already agreed with them. Both are exactly the kind of structured, repeatable task AI carries out well.
What we built
A contract comparison app that holds the business' preferred terms and conditions and knows what an agreed contract looks like. For a new tender, the client compares the draft contract against those preferred terms. For an existing client, they compare the new draft against the previously agreed contract to surface every change. Either way, the app drafts alerts, notes the risks it finds, and prepares a first draft of the tender response for review.
Why it stuck
It does not replace judgement — it removes the reading marathon before judgement starts. The comparison runs the same way every time, against the same preferred terms, so nothing depends on how tired the reviewer is or how close the deadline is. The client still decides what to accept; they just start from a list of changes and risks instead of a blank page.
The outcome
Contract review went from hours of line-by-line reading to minutes of reviewing flagged changes. Risks are noted consistently, tender responses start from a draft instead of a blank document, and proposals get out the door faster without the owner carrying the whole review alone.
