The step after your AI audit

Managed AI Capability: your ongoing Managed AI Capability partner for operational scaling

You've had the audit and your first quick wins are running. Managed AI Capability is how the rest of the business gets automated — two build calls a month, unlimited Voxer access to us in between, and a steady queue of manual workflows turned into systems that run themselves.

  • Done-with-you, not a black-box build you can't maintain
  • Tool-neutral — we fit your apps, not our software
  • A$1,000 - A$2,500 per month, month to month, no lock-in

What the Managed AI Capability includes

A done-with-you partnership that keeps improving your operations month after month. No tens of thousands upfront, and no learning to code.

Two monthly strategy and build calls

45 - 60 minutes each. We take one department or manual workflow at a time, map it end to end, then design and build the fix — quoting, onboarding, reporting, supplier documents, client follow-up.

Unlimited Voxer access

Voice-to-voice and text support as you work. Ask the question when it comes up instead of holding it for a meeting. We hold a 12 business-hour response window.

Continuous implementation

We build, refine and maintain your integrations, custom knowledge files and workflows as your business changes — so your AI keeps working when your process moves.

How we deliver: the Audit, Optimise, Automate framework

Every workflow we take on inside the retainer runs through the same three steps. We clean the process before we automate it, so you get faster results rather than faster mistakes.

  1. 1. Audit

We pull the current process apart step by step. Who does what, where the friction is, and which copy-paste steps are quietly costing hours every week.

  2. 2. Optimise

We strip out duplicated and unnecessary steps first. We never automate a broken process — that just produces faster mistakes.

  3. 3. Automate

We build and deploy the automation or custom AI file, then lock the clean process into something repeatable your team runs with a click.

How we decide what to build: effort versus impact

Your business has limited bandwidth, so every automation idea gets scored before it gets built. High-yield and low-barrier work goes first.

High impact · Low effort

Quick wins

Our immediate priority

Automations and AI-assisted tasks built inside a day that give back hours of admin every week.

High impact · High effort

Strategic integrations

Planned across retainer cycles

Bigger systemic work — tying onboarding together, syncing data between systems, multi-step delivery workflows.

Low impact

Low priority

Deliberately avoided

If it does not buy back meaningful time or remove a costly error, we do not build it. Novelty is not a deliverable.

Effort versus impact: low-effort, high-impact tasks are built first so you see return inside the first month.

Tool-neutral, built around the apps you already use

We don't sell software. We look across the off-the-shelf AI and automation landscape and implement what fits your workflow and your budget.

Process automation

Multi-step connections between the apps you already run, built on platforms like Zapier or Make.com.

Knowledge and data retrieval

Central intelligence hubs — CustomGPTs, Claude Projects, Gems — trained on your PDFs, price files, brand rules and procedures so repeat questions get answered in seconds.

Workflow optimisation

Content, analysis and document engines that turn multi-hour drafting or comparison work into a single-click action.

Intake and response systems

Smart enquiry intake, internal alerts and drafted response pathways so nothing sits unanswered while you are on site.

The build method is the same one we use after every audit — how we augment AI tools for repeatable results.

Unlimited daily collaboration by Voxer

Ticket queues and formal meeting slots are why most support arrangements go stale. As a Managed AI Capability client you get direct voice and text access to us on Voxer, with a 12 business-hour response window — the responsiveness of an in-house operations director, without the salary.

  • Quick question mid-job?

    Send a voice memo.

  • Automation misbehaving?

Send a text, we fix it.

  • New workflow idea?

Drop a Vox and we scope it.

Where Managed AI Capability fits after your audit

Start with the 45 - 60 minute AI audit at $599 incl GST. You get the task and ROI report, the tools required, guided set-up and AI basics training, and your first one or two tasks live. When those are running and there is a queue of deeper workflows worth automating, the Managed AI Capability picks it up from there. Local examples of what that looks like in practice are in our client stories.

Managed AI Capability questions

What is the Managed AI Capability?
It is our ongoing done-with-you AI partnership for businesses that have already completed the 45 - 60 minute AI audit and implemented their first tasks. Each month you get two 45 - 60 minute strategy and build calls, unlimited Voxer voice and text support with a 12 business-hour response window, and continuous implementation of new automations, custom AI files and integrations as your business changes.
How much does the Managed AI Capability cost?
Between $1,000 and $2,500 per month depending on scope and operational complexity. There is no long build fee and no proprietary software licence — the only other costs are the tool subscriptions you pay directly to the providers. Before our first call we send detailed guidelines and a short pre-meeting worksheet so the time goes on your business, not background questions.
Do I need the AI audit before starting the retainer?
Yes, in almost every case. The $599 incl GST audit gives us the task and ROI report that tells us where the return actually is, and gets your first one or two tasks live. The retainer is the next step once those are running and you want to scale into deeper workflows.
How is this different from hiring an AI agency or a developer?
We are tool-neutral and we work alongside your team rather than building a custom system you cannot maintain. You keep the accounts, the data and the knowledge. Instead of a large upfront build cost, you get an on-demand operational partner month to month, and you can stop when the work is done.
What is Voxer and why do you use it?
Voxer is a walkie-talkie style voice and text app. Send a voice memo when a question comes up, a text when you spot a glitch in an automation, or a quick idea for a new workflow. It gives you the responsiveness of an in-house operations manager without the salary, and it avoids waiting for the next scheduled meeting.
Is there a lock-in contract?
No lock-in. It is month to month. Most clients stay while there is a queue of workflows worth automating and pause once the priority list is done — we will tell you when that point arrives.
Do you work with businesses across Melbourne's western suburbs?
We are based in Williamstown and work with small and medium businesses across Williamstown, Yarraville, Footscray, Altona and the wider Hobsons Bay, Maribyrnong, Brimbank, Wyndham and Melton areas. Build calls run on video or in person, and Voxer support runs every business day either way.
