Inside the app
What was happening before
Abstec calibrates instruments, machines and components for engineering, manufacturing and health service businesses. In a regulated business like that, holding certification with several regulatory bodies and industry-specific standards is not admin — it is the licence to trade. Keeping up with constant changes and updates to guidance and regulatory standards meant a highly skilled technician working through regulator and industry sources by hand, usually on a weekend, checking whether anything had changed that touched their accreditations.
What we looked at in the walkthrough
In the 45 - 60 minute walkthrough we mapped where the hours were going and what carried the most risk if it went wrong. The searching itself was laborious but entirely repeatable: the same sources, the same accreditations, the same question every time — has anything changed, and does it apply to us? That is exactly the kind of task AI carries out well, provided it is pointed at the right reference material.
What we built
An AI app that runs weekly scans of industry and regulatory body news, changes to standards, and guidance notes — both minor and major updates. It is connected to the company's library of reference documents and to its certifications and accreditations, so it reads every update against what Abstec actually holds. Anything relevant is flagged to the appropriate manager 'for information'. The app then differentiates between mandatory changes and guidance changes, flags those to the responsible person 'for action', and creates a backlog list with alerts and reminders through to sign-off.
Why it stuck
It fits the way a regulated business already works. Nothing is decided by the app — a named person still reviews, actions and signs off. What changed is that the search, the filtering and the chase-up now happen on their own, the same way every week, instead of depending on one person finding a spare weekend.
The outcome
Automating the search and identification process has saved at least two full days a month — usually weekend work — for a highly skilled technician. Just as importantly, no change gets missed and the certifications stay current, avoiding costly re-work and re-certification and the reputational damage that can be disastrous for this type of business.
