1. The pre-walkthrough questionnaire
When you book, the scheduling form asks a short set of questions about your business, your systems and where time goes. We read it before we meet, so the 45 - 60 minutes is spent on your bottlenecks rather than background.
What is in it
- What the business does and roughly how many people touch the admin
- The software you already pay for, including anything with AI built in
- The jobs that eat the most time, in your words
- Who would actually use a new tool day to day
2. The bottleneck map
A one-page picture of where work stalls in your business — which steps depend on one person, which steps get re-done, and where information is re-typed from one place into another.
What is in it
- Each recurring job written as the steps it really takes, not the steps it should take
- The single points of dependency, usually you or one long-serving staff member
- Every place the same information is typed in twice
- A rough time cost per week against each stall
3. The task list with estimated ROI
Three to seven tasks AI can carry out for you, each with the hours or errors it removes, an estimated benefit, the tool required and the human check we build in. You choose up to three to build.
What is in it
- 3 to 7 tasks, each one a specific repeatable job — not a department or a 'strategy'
- Hours per week or errors per month the task removes, based on your own numbers from the walkthrough
- The estimated benefit, shown as a range with the assumptions behind it stated
- The tool needed and its monthly cost, so the return is net of the subscription
- The human check point: who reviews the output, and at what step
4. The vendor and tool recommendation
Usually one or two tools, with the monthly cost, where your data sits, and what changes if you already pay for something similar. No commissions, no lock-in.
What is in it
- The recommended tool, the plan tier and the current AUD price
- Where the data is stored and processed, and what the vendor does with it
- Whether a subscription you already hold covers it — often it does
- The second-choice option and why we did not lead with it
- What it takes to stop: cancellation terms and what you keep
5. The built and installed automation
We build the tasks you pick inside the tool, then install them with you so your staff open a saved setup rather than a blank prompt box. It runs the same way every time.
What is in it
- Up to 3 tasks built as saved setups — a Project, CustomGPT, Gem, Skill or workflow, depending on the tool
- Instructions written into the setup, so the same input gives the same output
- A run-through on your own real data during the install session
- The setup sitting in your account, under your login, not ours
6. Training and follow-up support
AI basics training for the people who will use it, plus phone and video support while the change beds in.
What is in it
- A one-page handout per built task: what it does, what to paste in, what to check before sending
- AI basics for the staff who will run it, pitched at people who have not used these tools before
- Phone and email support on 0401 665 196 while the change beds in
- What to do when the output looks wrong, and when to stop and call us
What it does not include
No ongoing retainer, no software resale, and no promise that every task on the list is worth doing — some will not be, and we will say so. If you want us alongside you month to month after the build, that is Managed AI Capability, and it is a separate decision you make later.
