AI for tradies: what it actually does on a working business

For a trades business, AI is not a robot and it is not new software to learn. It is a set of small tools that carry the repeatable paperwork: taking the details off a missed call, turning site notes into a priced quote, writing the invoice and the polite reminder, and producing the SWMS and site report from your own approved wording. You keep the pricing decisions and the customer relationship. It takes back the second shift.

The second shift is the problem, not the workload

Almost no trades business we meet is short of work. What they are short of is the four to eight hours a week that go on quoting, invoicing, chasing money and paperwork after the paid day has finished. That is the part AI is genuinely good at, because it is repeatable: the same decisions, the same wording, the same format, week after week.

It is also why we do not start with a strategy. We look at your last month of quotes, invoices and messages, work out where the hours actually went, and put a dollar figure against each one before anything gets built.

The four jobs that pay back first

In that order, because that is the order they usually return money. A builder writing eight to ten quotes a week at 30 to 45 minutes each gets four to six hours back and starts winning the jobs that used to go to whoever quoted first.

  • Missed calls and after-hours enquiries — the details captured, the callback booked, the customer texted back within a minute instead of ringing the next bloke on the list.
  • Quoting — site notes, photos or a voice memo in; a priced quote in your format, at your rates, out the same day.
  • Invoicing and payment chasing — the completed job written up as an invoice, then polite, escalating reminders that go out without you making the awkward call.
  • Site and safety paperwork — SWMS, JSAs, inductions and site reports produced from your approved wording rather than rebuilt from the last job's file.

What it looks like in practice

One Melbourne builder had their labour rates, equipment costs, overheads, standard inclusions and proposal template built into a single quoting tool. They enter sizes and quantities, it checks current material costs and produces the priced proposal in their format. Sunday nights back.

Another business had draft subcontracts read against their preferred terms before signing — the tool flags the clauses that differ, including the ones that break a liability cap. A person still makes the call; they just no longer read 27,000 words at nine at night.

What it should never do

  • Send a quote or an invoice without you seeing it.
  • Set a price you have not agreed.
  • Sign anything, or give advice that should come from your lawyer or accountant.
  • Talk to a customer about a dispute, a defect or a variation without a person involved.

Do I need new software?

Usually one or two subscriptions, in your own accounts, paid directly to the provider — commonly $50 to $300 a month depending on what is needed. We estimate that before you choose anything, and the tools sit alongside whatever job-management system you already use rather than replacing it.
