What does an AI consultant do?

An AI consultant studies how work is done, identifies tasks where AI can produce a useful and measurable result, chooses suitable tools, builds the task so it runs consistently, installs it with the team and checks whether it delivers the expected return. A good consultant starts with the business problem, not an AI product.

First, understand the work as it happens now
The first job is not choosing software. It is understanding where time, money or customer opportunities are being lost. That means talking to the people who do the work and looking at the real inputs and outputs: the notes that become a quote, the emails that become a weekly report, or the calls that currently become missed jobs.
A useful task has a clear starting point, a result somebody needs and a person who can tell whether the result is right. If the consultant cannot describe those three things plainly, the work is not ready to build.
The practical responsibilities of an AI consultant
- Find 3 to 7 tasks that are repetitive, frequent and valuable enough to justify changing.
- Estimate the likely time or money returned, along with any software costs, before building.
- Choose between a general AI assistant and specialist software based on the task rather than the brand.
- Write the rules, checks and output format so the task runs correctly and consistently.
- Build the prompt, skill, visual tool or small app and install it in the way staff will actually use it.
- Train the people doing the work and leave operating instructions the business owns.
- Set safe-use rules, including approved accounts, information that must not be entered and work requiring human approval.
- Measure the result and adjust the task until the agreed performance measure is met.
What the consultant should leave with your business
You should receive more than advice. For a practical implementation, the business should own the agreed instructions, working tools, access arrangements, operating notes and measures used to judge performance. A staff member should be able to run the task without calling the consultant every time.
The tool may sit in an account you pay for directly, such as Microsoft, Google, ChatGPT or another service. That keeps your access and business information under your control rather than inside a consultant's private account.
What an AI consultant should not do
- Recommend a long list of subscriptions before understanding the task.
- Promise that AI will replace judgement, responsibility or every part of a role.
- Put sensitive business or customer information into an unapproved personal account.
- Leave you with a demonstration that only the consultant knows how to run.
- Measure success by the number of tools installed rather than a business result.
Warning signs when choosing an AI consultant
Be cautious if the proposal begins with a large strategy exercise, has no fixed first outcome, cannot explain software costs, or uses broad promises without naming the work that will change. Ask who owns the accounts and instructions, what a staff member must check, and how the result will be measured.
Also ask what happens when the first output is not quite right. Adjustment is normal. The important point is whether that correction is included and whether the finished rules remain with your business.
How much does AI consulting cost?
The honest answer depends on scope. A complex integration across several systems is different from setting up a small number of repeatable office tasks. Ask for a fixed first engagement with a clear output before agreeing to ongoing work.

When a business is not ready

A good consultant should be willing to say no to those tasks. The right starting point is usually one recurring job with a clear result and enough volume to measure within a month.
