Here's the thing nobody tells owners: typing a request into a chat box is not a business process. Ask the same question on Monday and Thursday and you'll get two different answers, in two different formats, with two different levels of detail. That's fine for a one-off and useless for a task you do forty times a month.

A repeatable task needs four things written down once. The instructions — exactly how the job is done, in your order, with your rules. The reference material — your rate card, your terms, your templates, your product list. The output format — the headings, the fields, the tone. And the guardrails — what it must never do, like invent a price or promise a date.

Once those four are written down, they stop living in your head. That's the actual deliverable. The tool is just where you store it.

Then you package it. In Claude that's a Skill or a Project. In ChatGPT it's a CustomGPT or a Project. In Gemini it's a Gem. If the job needs to run without anyone watching, it becomes a workflow or a small app. The names differ, the idea is identical: the instructions and the reference material are baked in, so your staff type the job details and nothing else.

Now test it properly. Take your five hardest real jobs from the last few months — the messy quote, the awkward variation, the client who never gives you full details — and run them through. If it handles those, the easy eighty per cent looks after itself. If it stumbles, you fix the instructions, not the person using it.

Last step: hand it over. A staff member should be able to open it, see one clear instruction at the top telling them what to paste in, run it and get output in your format. No prompt writing, no training course, no dependence on you. That's when a task is genuinely handed over.
